Duties and Responsibilities:

The Marketing and Engagement Assistant’s role includes support for the Theater’s existing community engagement and education programs, sales and marketing efforts with a focus on partnerships and audience development, and wide-ranging support for a small and collaborative marketing team. Specific responsibilities include:

  • Coordination of the theater’s equity ticketing program, Access Tickets, including communicating with partner organizations, allocating and tracking ticket distribution, and working with the Harris Theater box office to ensure all seating and ticketing needs are covered
  • Coordination of the theater’s partnerships with schools and arts education providers including master classes, open rehearsals, and other opportunities for students
  • Supporting the Theater’s participation in the citywide Teen Arts Pass program and processing all ticket donation requests 
  • Supporting the Special Event and Engagement Coordinator in all onsite engagement activities including Access Tickets and Family Series enrichment, lectures/panel discussions, and lobby experiences
  • Contributing to the marketing team’s shared revenue and audience development goals through partnerships with affinity organizations, promoting student and educator discounts to colleges and universities, building and deploying newsletter and reminder emails, and working with the team to create educational program, email, and social media content that will deepen audience experiences at the theater
  • Administrative support for the Director of Marketing and Audience Development and the team as a whole by assisting with vendor payments, expense tracking, scheduling needs, and other duties as assigned.  

Experience and Expectations:

As a member of the Harris Theater team, the Marketing and Engagement Assistant is expected to:

  • Uphold the Harris Theater’s mission to be a home for music and dance, and embody values of inclusion, accessibility, collaboration, and artistic excellence
  • Attend performances and events as required, and share staffing responsibilities with the team for the welcome table, event logistics, and other areas as assigned 
  • Participate in regular team meetings, share ideas, and communicate openly with peers and supervisor about questions, challenges, and successes 
  • Maintain professional conduct and represent the theater positively in all interactions with artists, partner organizations, donors, and patrons 

The ideal candidate will have:

  • Experience or demonstrated interest in arts administration, marketing, community partnerships, or a related field
  • Strong communication skills and a willingness to collaborate with colleagues and external partners
  • The ability to prioritize, manage multiple projects simultaneously, and maintain focus in a fast-paced, open office environment 
  • Experience with Microsoft Office Suite (familiarity with Tessitura or other CRM software and/or email marketing platforms is a plus!)

Duties and Responsibilities Include:

  • Maintain the artistic mission and standards of the Harris Theater for Music and Dance

Grant Management:

  • Manage grant and sponsorship application, submission, and reporting calendars; coordinate and communicate deadlines with Director of Development to ensure all deadlines are met
  • As lead writer, prepare grant proposals, solicitations, letters of intent, and reports
  • Support Corporate and Foundation Relations Associate in generating timely and personalize acknowledgment letters for all institutional funders; includes tax receipts and high-level thank you letters from executive staff and board chairman
  • In collaboration with Corporate and Foundation Relations Associate, work to identify and research new foundation funding sources, including application recommendations and timelines
  • Coordinate fulfillment of institutional grant agreements with donors and staff, ensuring proper recognition, fund allocation, and program metrics are met
  • In collaboration with the Finance team, provide budget projections and actual financial results for funders and other development communications; aid the Finance team during the annual compilation of the Theater’s Form 990 and audit

Program Evaluation:

  • Work with Operations, Production, Community Engagement, and Finance departments to gather pertinent grant information including budgets, program descriptions, and documentation
  • Centralize and maintain historical and evolving data related to all areas of the Theater’s mission; includes audience demographics, performance attendance data, financial information, community engagement initiatives, theater rental activity, and resident company participation
  • Conduct audience and program participant surveys to measure impact of programming
  • Make program and reporting recommendations to Director of Development and Director of Marketing and Audience Engagement based on trends and findings

Department Support:

  • Maintain partner organization memberships in TRG Arts, Arts Alliance of Illinois, Data Arts, and others, monitoring renewal schedules and recommending best use of memberships for the organization
  • Coordinate formal foundation site visits and attend external visits with grantmakers as necessary
  • Draft other communications for the External Affairs team, including language for the Theater’s Annual Report and program books
  • Represent the Harris Theater at external events in the non-profit arts and cultural community
  • Provide operational staffing support during subscriber and donor special events

Experience Requirements:

  • 2+ years of experience in grant writing, arts administration, or development is preferred
  • High-level organizational skills with attention to detail
  • Excellent written and verbal communication capability
  • Ability to be self-directed and work independently in a fast-paced work environment 
  • Capacity to effectively prioritize and manage multiple tasks simultaneously
  • Experience with Microsoft Outlook, Word, and Excel; experience using Tessitura preferred

Overview
The Development Intern provides critical database support and administrative assistance to the Harris Theater’s Development team. This internship focuses on constituent database management in Tessitura; responsibilities also include archiving departmental files and providing support at performances and fundraising events. 
Reporting to the Individual Giving Manager, the Development Intern will gain an understanding of all elements of fundraising for a small nonprofit organization, while developing expertise in database management. 

Primary Responsibilities

  • Participate in data integrity projects including biographical and address updates, event participation, merges, and inactivation processes in Tessitura
  • Assist in streamlining Tessitura data integrity policies and guidelines 
  • Assist with organization and execution of annual fund mailings
  • Assist with donor stewardship initiatives
  • Maintain internal electronic and paper files of gift information, donor correspondence, and departmental collateral 
  • Provide onsite event support including donor check-in and ticket distribution
  • Other duties as assigned

Special Event and Gala Intern

Overview

The Special Event and Gala Intern provides crucial administrative, logistical and on-site event support for the Harris Theater’s special events, including the 2020 Gala, during the 2019-2020 season. The Special Event and Gala Intern will report to the Special Event and Engagement Coordinator, with opportunities to gain valuable experience in the fields of event management and fundraising. 

Primary Responsibilities

Event Support:

  • Draft electronic guest communications in Wordfly (invitations, reminder emails, etc.)
  • Compile sponsor recognition slideshows for events
  • Assist Development team in placing day-of reception invitations on seats 
  • Collaborate with Box Office to prepare VIP guest tickets for distribution
  • Provide on-site support for events, including donor check-in and ticket distribution
  • Prepare materials for regular Gala planning meetings
  • Attend Gala planning meetings with event co-chairs and Harris Theater staff

Collateral and Direct Mail:

  • Support for in-house direct mail campaigns related to events 
  • Maintain physical and digital archives for event collateral

Tessitura Support:

  • Generate guest attendance reports in Tessitura and format data to distribute to executive leadership 
  • Update guest attendance information in Tessitura following each event 
  • Database and donor record maintenance, as needed

Other duties as assigned

PART-TIME ticketing service representative


General Description
The Harris Theater for Music and Dance in Millennium Park is seeking Ticketing Service Representatives for part-time openings on our Box Office Team. Ideal candidates will have excellent customer services skills, be proficient in Tessitura, possess excellent written and verbal communication skills, as well as problem-solving abilities. The Ticketing Service Representative reports to the Box Office Treasurer and assists in the daily operations of the Harris Theater Box Office.  Weekday, evening, weekend and holiday availability a must. 

Qualifications
To perform this job successfully, an individual must be able to perform each of the essential duties satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

Essential Duties and Responsibilities include the following but not limited to

  • Process telephone, walk-up, and e-mail ticket orders for all Harris Theater performances 
  • Responsible for opening and closing procedures 
  • Handle will-call, sales, and customer support during performances
  • Maintain ticket database with current information
  • Assist and welcome all guests entering our space 
  • Support the ticketing needs of rental companies
  • Provide accurate records of all daily box office financials
  • Maintain a current and competent level of knowledge for the Harris Theater and rental companies
  • Assist in the maintenance of a clean and organized box office
  • Other duties as assigned 
  • Previous Tessitura ticket system experience required

Part-Time Facility Security Staff 

The Harris Theater for Music and Dance in Millennium Park is seeking part-time Facility Security Staff for openings. 

Harris Theater Facility Security Staff performs routine security functions to ensure the protection of the facility and its assets along with the safety of the Harris Theater’s staff, users of the space and visitors. Other responsibilities include: manages access to the building; monitors any incidents and reports them to their direct supervisor; performs related duties as required. Since the Security Staff are the first impression of our organization they must project a positive image in accordance with policies of the Harris Theater and must possess superior customer service skills

Harris Theater Security Staff are scheduled for shifts during 7 a.m. – 11 p.m. for normal building operations and performances. Ideal candidates will be friendly, energetic, articulate, very well groomed, approachable, have the ability to multi-task, problem solve and handle situations with sound judgment, impeccable attendance and punctuality and Proficient in Microsoft Word and Outlook.

Seeking candidates with previous Security and Customer Service experience. Candidates must have 20 Hour Un-Armed Security Training Certification obtained or willingness to complete upon hire, PERC Card obtained or willingness to complete upon hire, able to work days, nights, weekends, holidays, be able to stand for long periods of time, and lift up to 25 pounds. 

Accountabilities and Responsibilities:

  • Responsible for completing opening and closing procedures, securing the office, and being stationed at the entrance desk during operating hours.
  • Screens visitors/guests to ensure the safety of the building and that all individuals are directed to the appropriate area.
  • Handles all incoming phone calls and verifies all delivery and mail details.
  • Maintains the highest levels of professionalism and customer service to patrons, visitors, users of the theater and staff members by greeting all in a friendly and courteous manner.
  • Maintains a safe environment by monitoring the facility through both the security cameras and physical routine checks of the space during operating hours and during performances and events.
  • Directs and assists in emergency protocol as needed.
  • Reports unusual activity or suspicions of safety issues to the Security Supervisor or administration in a timely fashion.
  • Documents incidents in a timely manner, capturing details and an accurate record of facility activity in Daily Activity Reports.

Seeking candidates with prior bar tending, serving or catering experience in a high volume environment and BASSET Certified preferred. If not currently BASSET Certified must be willing to obtain certification.

Seeking candidates who are interested or participate in the arts, have previous customer service experience and BASSET Certified preferred. If not currently BASSET Certified must be willing obtain certification.
